Quality Management System

This is an overview of the schools Quality Management system.

Introduction.

The School's ISO 9001:2000 system forms an integral part of it's management system. It consists of a Quality policy, procedures and forms that control activities within the school.

The following is a guide to the areas covered by each section.  The Quality Management system is located on the schools intranet at http://staff.ee.uwa.edu.au/qms/.  Staff and postgraduates should see the this page for further details.

ISO Sections.

The school’s procedures are organized into sections which mirror the organizational structure of the school. There is very little interaction between the procedures, these are covered in each procedure by cross references and the procedures references section.

The following gives you an overview of the responsibilities in each section.

General.

This section deals with items which:

  • apply to every section such as:
    • training;
    • changes who is in the school (staff/postgraduate/visitors);
    • control of assets, disposal and loans;
    • corrective and preventative action (what to do when something goes wrong);
  • deal with the ISO system itself such as:
    • document control, the creation, modification of procedures and forms;
    • internal audit..

Computer Support.

The Computer support section is responsible for managing the schools computer systems. It has prime responsibility for the Teaching, Administration and Network infrastructure including the schools email and WWW servers. It assists research groups with the management of their systems. The Information Systems manager is also responsible for IT Policy, Security and the schools software licenses.

  • General enquiries can be submitted by email to support@ee.uwa.edu.au or by phoning ext 7246
  • Requests for email and other accounts must be submitted on an account creation form.
  • Jobs such as setting up computers, installing software, providing networking, getting quotes for computer hardware / software must be submitted on a job request form.

Electronics Workshop.

The Electronics Workshop (EWS) provides electrical and electronic hardware support to members of the School. This support includes, but is not restricted to:

  • Repair and maintenance of commercial electrical and electronic equipment used in the school (including computers).
  • Design, construction, repair and maintenance of prototype electrical and electronic research equipment.
  • Design, construction, repair and maintenance of electrical and electronic equipment used in teaching laboratories.
  • Assistance with the construction of projects for final year students.

General Workshop.

The General Workshop designs, constructs and services mechanical and general components used in research and teaching equipment for research groups, lecturers and final year students. Contact the General Workshop for attention to minor problems with building utilities and maintenance. All forms are available from the General Workshop section of the Quality Management system.

General Office.

The General Office is often the first port of call for enquiries from university staff, students and members of the public and staff in the office provide assistance in a helpful and friendly manner.

Below is a summary of the work carried out in the General Office:

  • Coordinating the submission of examination papers and processing examination results,
  • Coordinating the preparation, printing and sale of lecture notes,
  • Updating the Penultimate Year Handbook, the University Undergraduate Handbook, and the School's Publications Database
  • Arranging venues for meetings held within the School,
  • Assist with the organization of School functions, i.e. Open Day, Engineering Camp, etc.
  • Administration associated with the Final Year Project, and the Student Perception of Teaching surveys
  • Photocopying and a wide range of other general duties.

Purchasing and Accounts.

The School Manager is responsible for overall management of the School and has primary responsibility for the financial and administrative operations to support the School's research, teaching, service and consulting aims.

The School Manager (SM) is assisted by two other positions; the Purchasing Officer/Assistant to the School Manager (PO/ASM) and the Accounts Officer (AO).

The PO/ASM is responsible for the purchasing requirements of staff and students, including notification of deliveries, arranging couriers and expediting orders. The PO/ASM is also responsible for maintaining a stock of office supplies, administrating travel expenditure, maintaining the key register, issuing and tracking keys and access cards of the building, and venue timetabling. The PO/ASM provides assistance to the SM in a varied range of administrative duties.

The AO provides financial services support to staff and students, including processing of invoices, responding to accounting/casual teaching payroll queries, maintaining records relating to casual teaching forms and all accounting transactions which are processed through the School. The AO provides monthly reports to account managers, and has responsibility for petty cash reimbursements.

Teaching.

The teaching section deals with teaching related procedures such as:

  • Examination Processing and Timetabling.
  • Final year project assessment.
  • Design and review of courses and units

The General office performs many duties outlined in the Teaching procedures and is therefore often your first port of call for teaching issues. The major exception is if finances are involved (i.e. for employing staff) in which case you should see purchasing and accounts.
